CONSTRUCTION SITE ASSISTANT

Laframboise Group is seeking an Construction Site Assistant with Industrial Construction administrative experience. This is a full-time position based out of our New York office located in Syracuse, NY.

Laframboise Group is an industrial fabricator and contractor self-performing, Piping, Structural Steel, Sheetmetal, Millwrighting, Tanks and Vessels, Electrical and Instrumentation work.  We have offices in Long Sault Ontario, Syracuse NY, Bartow FL and perform work throughout the continental USA and Canada.

Description of Position: Responsible for supporting Laframboise Group’s projects, Project Manager and/or Project Superintendent at our Syracuse location. This position is integral in providing an orderly recording and keeping of physical and electronic documents and acting as a liaison between the project and various administrative departments for our corporate office in Long Sault, Ontario. General Office Administrative functions include but are not limited to mail, filing, answering phones, maintaining bulletin/notice boards, meeting minutes, and assisting with client inquiries.

  • Establish and maintain a physical and electronic system of documents related to a construction worksite.
  • Categorize, file, and easily retrieve and distribute documents.
  • Maintain document control logs, drawings and specifications, and addendums, including MTRs.
  • Prepare, submit, and track vendor submittals and shop drawings with clients and vendors.
  • Prepare job close-out and turnover packages for clients.
  • Printing and finishing of documents.
  • Compile required daily reports.
  • Payroll administration of timesheets for the project; obtain timesheets and review for labor, hours, coding, AND correct errors.
  • Submit payroll to the corporate office for processing.
  • Submit new hire packages, employee change of status, address, banking updates, and employee separation documentation, ensuring they are accurate and complete with all required approvals.
  • Order and maintain suppliers, arrange equipment maintenance, and organize the area.
  • Prepares purchase orders and maintains packing slips for material orders. Submit original paperwork to the corporate office for processing.
  • Receiving materials at the site as required, with the ability to lift and carry up to 30 pounds for short distances.
  • Assist with maintaining Quality and Safety documentation to ensure compliance, including completeness, signature, and date.
  • Coordinate and maintain training documentation.
  • Coordinate training schedules.
  • Administer and reconcile petty cash and expense reports.
  • Coordinate with local suppliers for pick-up and deliveries.
  • Maintain confidentiality concerning employee, client, and candidate information.
  • Support the Project Manager, Project Superintendent, and Project Coordinator as needed.
  • Communicate as required on delays, issues, labor, AND changes that may impact the site or project.
  • Other duties as required.

 Skills & Experience

  • High School graduate or GED required.
  • Previous administrative experience.
  • Industrial Construction, heavy construction or similar experience is a plus.
  • Proficient in Microsoft Office 365 products. Experience in Teams and SharePoint is a plus.
  • Excellent verbal and written communication.
  • Exercise discretion and independent judgment when handling day-to-day information.
  • Excellent time-management skills to plan, organize, and prioritize tasks and responsibilities to meet deadlines and adjust to changing priorities.
  • Ability to work cooperatively across all levels, deliver on commitments, and be result-oriented.
  • Ability to complete work with high accuracy and attention to detail.
  • Ability to work under pressure to meet deadlines.
  • Ability to work non-routine hours when necessary.
  • Ability and willingness to travel as needed.
  • Moving about to accomplish a task or moving from one worksite to another.
  • Ability to operate job-related tools and company vehicle; requires valid Driver’s License with clean MVR. Forklift experience is a plus.
  • Preferred: Bachelor’s degree in a related administrative field.
